Training Tips

Below are common helpful hints for BA providers:

  • Multiple visits/sessions in one day for the same recipient and same provider must be billed (released) on the same day of the session
  • Referring Physician ID number can be Medicaid ID# (9-digit number) OR NPI (10-digit number) and must be verified if found in the Tellus system before linking.
    • Note: Physician information is manually entered and there is potential for incorrect user data entry.
  • When using the “Void” functionality, this will void out the entire batch, not just one line item, so plan accordingly.

Visits Submission Workflow:

  1. Some Provider groups are using USERFIELD 1 field to document either the patient medical record number, ICN number, or invoice number.
    • If using the USERFIELD 1 field for documenting the medical record number, ICN, or invoice number— please ensure the medical record number or invoice number and the number you place in USERFIELD 1 matches the number in each claim, and that you submit these claims on the SAME day—not on two different days.
    • If USERFIELD 1 entry is different and submitted on two different days, then claims may not be processed and will show up as denied.
  2. Each Alternate EVV Vendor is required to have a process by which the visits from the vendor are transmitted to Tellus.
  3. “Visits” get sent to Tellus in a rendered services feed.
  4. Visits first land in the Visit log and then are processed through the Tellus rules engine and moved to the worklist. This will result in a “matched” or “unmatched” visit in the worklist. “Unmatched” visits require the user to enter a reason code.
  5. The provider should not release any visit on a day until all visits for that date that need to be rolled up are in matched status.
  6. If multiple visits occur for the same recipient on the same day, the visits should be released at the same time. If visits are released on two or more different days, the first submitted visit will process but the second one will deny because the FMMIS System sees the second visit as a duplicate claim.

Helpful Reminders

  • Remember to remove any Duplicate Addresses, this will help avoid Place of Service errors.
  • Remember to validate the client address in the Tellus App:
    • Look for the “Green Dot” symbol beside the address- this indicates the address has been confirmed via google maps or other verification, and will also set your place of service automatically if the address is verified.
    • If you receive a “Red Dot” symbol beside the address- the application is signaling that the address is unverified, and you could have additional errors such as place of service.
  • Use of Filtering within View Panels – Be mindful of filtering logic utilized or changes in other panels, as this could impact your specific views of results shown in that particular panel.
  • Please remember to use FLMMIS, and not Tellus, solely to bill assessments (H0031) and reassessments (H0032).
    • Note: All other BA services, including adjustments, must be directly billed via the Tellus System
  • Providers must have their profile updated in the FLMMIS; i.e., agency of employment.
